Cohorts & enrollment
How students join a cohort, the statuses an enrollment moves through, and how payment plans are recorded.
A cohort is one run of a course: a name, a start date, a price, and a number of instalments you are willing to accept. Students enrol in a cohort, and every grade, payment and attendance record hangs off that enrollment.
Ways a student gets in
- Self-enrollment from your public page. The visitor fills in a form; you see them immediately.
- Added by staff, one at a time.
- Imported from a spreadsheet, including their outstanding balances.
Enrollment status
| Status | Meaning |

| registered | They asked to join. Not yet given access. |
| invited | They have been sent an invitation to create their account. |
| active | Enrolled and using the portal. |
| completed | Finished the cohort. |
| dropped | Left the cohort. |
| refunded | Left and was refunded. |
Only ACTIVE enrollments count against your plan's student limit. Marking finished cohorts as completed is how a full academy makes room without deleting anything.
Prices and instalments
- A cohort has a list price. An enrollment records the total actually agreed with that student, plus any discount — the two are separate, so a discount stays visible rather than being hidden inside a lower number.
- Payment plan is either FULL or INSTALMENT. The number of instalments a cohort allows is set on the cohort.
- A cohort's price can be hidden from the public page while still being used for the student's balance.
